The purchasing decision
A supplier scorecard should make differences visible rather than turn every quote into one unit-price ranking. Start by checking whether the responses describe the same material, closure, dimensions and included accessories. If one offer uses an alternative construction, record it as an alternative rather than silently comparing it with the requested specification.
Review sample traceability, communication and the completeness of supporting information. Ask whether packing dimensions, carton quantities and development costs are included. Keep proposed production timing separate from assumptions about artwork approval, material availability or sample changes. A schedule is easier to evaluate when its starting conditions are stated.
Use the scorecard to decide which points need clarification before an order is placed. The lowest price may still be useful, but only when the buyer understands what it includes. Retain the final comparison with the approved sample and purchase specification so the selected supplier’s commitments can be checked during production and receiving.
What to compare before ordering
| Decision | Review with the supplier | Purpose |
|---|---|---|
| Specification match | Materials, components and dimensions. | Identify alternatives and omissions. |
| Evidence | Traceable sample and complete response. | Resolve unclear assumptions. |
| Commercial comparison | Packing, setup, timing and terms. | Compare the total defined offer. |
Include these details in your enquiry

- Sample, packing and cost breakdown
- Clarification log and approval decision

Identify the model and the version of any drawing or artwork. Ask for assumptions, proposed changes, packing details and commercial terms to be shown in the quotation. MOQ, sample cost and production timing are confirmed for the agreed configuration.
Buyer questions
Should a lower price be rejected automatically?
No. Identify the construction and commercial basis first. A transparent alternative can be considered on its own merits.
How should missing information be scored?
Record it as unresolved and request clarification. Do not assume an omitted component or service is included.
