The purchasing decision
Sample approval is most useful when it identifies exactly what has been accepted. Give each sample a revision and record the model, materials, dimensions, hardware and artwork that belong to it. An email saying the bag looks good can leave important details unresolved when production begins.
Separate appearance review from functional evaluation. Colour, print placement and visible finishing are one group of checks. Closure operation, packed fit, carry handling and any agreed exposure test are another. Keep open issues visible and identify whether a revised sample or a documented correction is needed.
Approve packaging with the product when it affects fit, accessories or instructions. Retain a signed reference and a specification revision that the supplier can use for production inspection. If a later change is proposed, record whether it affects only artwork or requires another construction evaluation. This keeps the approval process practical without assuming every revision is equivalent.
What to compare before ordering
| Decision | Review with the supplier | Purpose |
|---|---|---|
| Identification | Sample revision and matching documents. | Know what is approved. |
| Review groups | Appearance, function and packing. | Record separate acceptance decisions. |
| Change handling | Correction, new sample or re-evaluation. | Keep later revisions traceable. |
Include these details in your enquiry
- Sample identification and measurement sheet
- Material, hardware and artwork revisions
- Open issues and approval responsibilities
- Packed sample and retained reference
Identify the model and the version of any drawing or artwork. Ask for assumptions, proposed changes, packing details and commercial terms to be shown in the quotation. MOQ, sample cost and production timing are confirmed for the agreed configuration.
Buyer questions
Does approving colour also approve performance?
No. State which aspects have been reviewed and which functional checks remain open.
What should accompany a retained sample?
Keep the specification, artwork, measurements, packing details and any agreed evaluation records with the sample identification.
