The short answer
Warehouse receiving should establish shipment identity, the models and quantities received, visible transit condition and whether units can enter available stock. Supply the approved SKU and packing references in advance, retain carton-to-unit connections during unpacking, and separate disputed stock from confirmed items. A useful discrepancy record describes observed facts, expected references and the responsible decision owner. It complements production inspection; a receiving check alone does not establish a bag's waterproof performance.
Define what the destination warehouse needs to establish
Receiving dry bags wholesale is a separate task from inspecting production at the factory. The warehouse needs to establish what arrived, whether the shipment can be identified against the purchase order, and whether transit or quantity discrepancies require attention. It should not be expected to reconstruct a product specification from loose samples and an invoice description.
Send the receiving team an accessible reference set before the shipment arrives. Include the SKU list, accepted packing versions, expected quantities and carton identification. Add photographs or drawings that distinguish similar models. State where damaged, unidentified or disputed units should be held while the buying team decides what to do. This prevents uncertainty from becoming normal saleable stock.
Separate shipment evidence from the condition of the product inside
Record the condition and identification of the shipment before unpacking removes useful evidence. The receiving procedure should tell staff which external labels and any visible transit damage need to be documented. If a carton is opened, retain the connection between the carton identity, the unit packs and the observations made during unpacking.
A damaged outer carton and a product discrepancy are different observations. One may occur without the other. Describe what can actually be seen rather than assigning a cause immediately. Keep the relevant purchase-order and shipment references with the record so the buyer can discuss the issue with the appropriate parties.
The production inspection guide covers agreed product checks. Warehouse receiving should refer to that accepted specification where necessary, while keeping shipment identity and stock availability as its own decision.
Give each discrepancy a clear receiving status
| Receiving question | Evidence to retain | Action to define |
|---|---|---|
| Does the carton identity match the expected shipment? | External identification and purchase-order reference. | Clarify unidentified cartons before allocating their stock. |
| Are the model and color combinations correct? | Unit-pack codes, counted quantities and relevant photographs. | Separate confirmed items from mixed or disputed groups. |
| Is there visible transit damage? | Condition before and during unpacking. | Follow the agreed reporting and holding procedure. |
| Are included components present? | The approved packed-unit reference and observed contents. | Record missing or different items against the affected SKU. |
| Can the units enter available stock? | Completed receiving record and any unresolved exception. | Release, retain on hold or request a buyer decision. |
Agree the scope and quantity of product checks separately. The table does not prescribe an acceptance sampling plan or imply that a quick receiving inspection proves waterproof performance.
Illustrative case: two similar blue references
This is a training example, not an actual shipment report. A warehouse expects a Blue Translucent Dry Bag configuration and a Mesh-Pocket Tube Dry Bag configuration under separate SKU codes. A unit-pack label is unclear, so the receiver compares the supplied reference views and records the carton identity before assigning the item to stock.
The receiver does not decide that two blue bags are interchangeable. The item remains identifiable while the buyer checks the order and packing references. Once clarified, the decision and any correction to the receiving data are attached to the original observation. This leaves a useful explanation for future stock counts and supplier discussions instead of an unexplained adjustment.
Make discrepancy records easy to investigate
Record the date, receiving location, purchase order, shipment reference, carton identity, SKU, expected quantity and observed quantity. Add a concise description of the difference and photographs that show both the issue and its context. A close-up can show a missing fitting, but a wider view is often needed to establish which product and package it belongs to.
Keep observed facts separate from the requested resolution. A buyer may ask for clarification, replacement components, a stock correction or another agreed action. The supplier needs enough information to assess the issue before a remedy is selected. Retain packaging and identification as required by the agreed investigation process, rather than discarding them while a question remains open.
Hand off stock status and the open exceptions together
The final receiving handoff should state which quantities are available, reserved or on hold, with the reason for any restriction. Assign an owner and next review point to each unresolved discrepancy. The purchasing team should be able to connect an unavailable stock quantity to a real receiving record, not just a note saying “quality issue.”
When the exception is resolved, record the decision and the quantity released or otherwise handled. Keep the completed record with the shipment history. For a new repeat order, use the accepted model information from the dry bag collection and the existing order references, then update the receiving pack so staff are not comparing a changed product with an obsolete photograph.
Discuss the selected model and purchasing brief
Send the model references, quantity split and the decision record described in this guide. Add your artwork, packing requirements, destination and required delivery date.
